THE ROLE / TE MAHI

As our Corporate Services Administrator, you will play a pivotal role in providing reception, administrative, facilities and operational support across the organisation. You will be the first point of contact for visitors, staff, contractors and stakeholders, helping to create a professional, welcoming and efficient workplace environment. Based in Tāmaki Makaurau this permanent, fulltime role reports to the Administration Manager who is based in Ōtautahi.

Key responsibilities include:

  • Managing reception services and responding to enquiries
  • Coordinating meeting rooms, catering, and office facilities
  • Supporting the organisation of mail, couriers, and confidential correspondence
  • Maintaining office supplies and consumables
  • Coordinating facilities-related activities, equipment, and contractor access
  • Receiving, tracking, and distributing assets and equipment nationwide
  • Maintaining accurate asset and inventory records
  • Contributing to continuous improvement initiatives and team collaboration

This is a varied and hands-on role suited to someone who enjoys balancing administration, customer service, facilities coordination and operational support.

ABOUT YOU / MŌ KOE

You are an experienced administrator who thrives in a dynamic environment and takes pride in delivering excellent service. You are highly organised, detail-oriented, and able to juggle competing priorities with confidence and professionalism. To be successful in this role, you will bring:

  • 3-5 years' experience in an administrative role
  • Strong written and verbal communication skills
  • Advanced proficiency with Microsoft Office and the ability to learn new systems quickly
  • Excellent problem-solving skills and a proactive approach
  • Strong interpersonal skills and the ability to build positive working relationships
  • New Zealand Sign Language (NZSL) proficiency or a willingness to learn
